Executive / Senior Executive, Customer Service and Operations
Permanent, Full Time / Executive or Senior Executive / 3 years exp
The incumbent will work and oversee 3 main areas namely Procurement, Facilities Management, and providing Customer Service for both internal and external stakeholders.
Responsibilities
Customer Service:
- Ensure client service associates execute their role well and provide excellent customer service to clients and their caregivers
- Covering the duty of the team as required to ensure smooth daily operations
- Manage enquiries through various platforms -- emails / WhatsApp / calls / walk-ins
- Liaise with relevant departments for follow up on client related matters
- Ensures accurate and timely record keeping of all enquiries
Procurement:
- Ensure procurement process of office / facilities related purchases is done in an organised and timely manner
- Manage and oversee admin work processes such as issuance of staff uniform, access cards and related items
Facilities:
- Work with Landlords / Managing Agents on matters related to facilities
- Source and liaise with contractors where necessary
- Execute facility related projects from start to end
- Ensure proper upkeep of the centre and report and faulty office equipment to RO for further action
- Manage all matters pertaining to maintenance of the centre (e.g. aircon, pest control, outsourced cleaner duties, copier maintenance)
- Ensure office related consumables are regularly stocked (e.g. pantry items, stationary, tissues)
Job Requirements:
- Minimally diploma in any discipline
- Minimum 3 years of customer service and operations experience
- Knowledge and experience in Facilities management is not necessary but will be an added advantage
- Possess excellent customer service and good interpersonal skill
- Patience and gentle disposition with empathy and strong listening and communication skills
- Attentive to details and meticulous in following up on customers' requests
- Computer literate with Microsoft Office skills
- Exhibits positive mindset and maturity to cope with changes in a dynamic environment
- Resourcefull and possess strong problem solving skills
